Instead of emailing large attachments, provide a link to your documents in the Downloads Area.
There are restrictions on the maximum size of attachments when you send an email. This is there for a good reason. If you send the message to 100 people it means that the mail system is clogged with 100 copies of the attachment.
Many email providers also limit attachment size. If you send a large attachment from your Visual Pursuits website, the recipient may not be able to receive the attachment.
The alternative is to provide links to your documents. Even better, your documents can be saved by category on your website so members can browse them at any time.
Use your website menu "Administration", "Manage Documents and Files". Upload your documents on this page and create categories to group your documents.
Members can view these documents using the website menu "Organization", "Documents and Files to Download". (Your organization may have renamed or moved these menus.) Some file types, like a PDF, can be viewed instead of downloaded. You are encouraged to create PDF documents if you want users to view them on your website.
You can send an email with a link to a document stored on your website. Copying the link for viewing a document from the "Documents and Vides to Download" page may not work because the bowser may add a browser specific extension to the link. Instead, get the link from your "Manage Documents and Files" page.
When you view the document information on the "Manage Documents and Files" page, you will see link information labeled "Link to use outside this website". Use the link text displayed.
- In your email message, place a phrase or word to name your document.
- Select the text that will use the link.
- Click the "Insert" tab at the top of the editor.
- Click "Link Manager".
- Paste the link address into the "URL" field.
- Add "?o=y" (without the quotes) to the end of the link address so it will display in the browser instead of being downloaded.
- Click OK.
Once you create a link, you can right-click on the link and select "Properties" to change the link.
